Think about your fav airline for a second. Now think about the one you avoid if you can help it. Chances are the difference isn't really the plane - it's the experience on either side of the flight.
The priority boarding, the reassuring updates, the way they let you go at the other end. That's onboarding and offboarding, and it's one of the most underused tools in a practitioner's business.
Why This Matters More Than It Sounds
Done well, onboarding isn't admin - it's client retention, staff retention, and a natural extension of your duty of care, all at once. Done badly (or not at all), you're relying on your 1:1 hour to build a relationship your systems should already be building for you.
There are three places you're onboarding people in a practitioner business:
- Clients (booking through to follow-up)
- Education (anyone downloading a resource or joining a course)
- Staff or contractors
The same principle applies to all three - lovingly welcome them in, and lovingly let them go.
The 5-Touchpoint Clinical Onboarding Sequence
- The one-click booking. The fewer obstacles between "interested" and "booked," the better. A confirmation immediately after, including date, time, location, and what to expect.
- The initial consult form. Sent automatically between booking and appointment. It doesn't need to be eight pages - contact details and red flags (medications, operations, pregnancy or breastfeeding) is often enough. Efficient case-taking starts before they walk in.
- The pre-visit reminder. A short note on how to prepare mentally, especially useful for anyone new to how a naturopathic consult actually works - because the questions can feel unexpectedly personal if no one's warned them.
- The follow-up. Sent straight after the consult, with a clear timeline: what the prescription is, why, and when to expect a check-in. Certainty here builds a genuine sense of safety.
- The check-in and resource. A helpful article, video, or downloadable that continues the relationship between visits - proof the connection doesn't switch off the second the appointment ends.
Automate What You Can, Script What You Can't
Every one of these five touchpoints can be automated once you've written it well the first time. Most booking platforms allow triggered emails at each stage. The goal isn't to remove the human touch - it's to free up your actual consultation time for the parts only you can do.
Don't Forget the Offboarding
The same care applies at the other end - whether that's a client completing a program, a contractor finishing a project, or you handing over care before a period of leave. A thoughtful close builds trust just as much as a warm welcome does, and it's the difference between someone quietly drifting away and someone actively referring their friends.
A Simple Place to Start
If you only build one touchpoint this month, build the initial consult form. It has the fastest, clearest payoff - better use of your consultation time, and clients who feel prepared rather than caught off guard.
For a ready-made starting point, our free Acute Consult Checklist covers exactly what to include (and leave out) in that first form.
If you want the full onboarding-to-offboarding system built out for your specific practice, that's foundational work we do inside the Natupreneur Membership.
Small systems, set up once, do a lot of quiet work.
Keep being you, everyone else is taken.
